Privacy Policy
In short
- Elbe Satranç is a chess club. This site and app exist to teach our students, keep their parents informed and give our coaches their tools.
- We keep only what teaching needs: name, e-mail, phone, date of birth, and the record of the chess work done.
- No advertising, no tracking, and your data is never sold.
- Live lessons are not recorded.
- You can delete your account at any time.
1. Who we are
This policy covers the site elbesistem.com and the Elbe Satranç phone and tablet apps, run by Elbe Satranç ("Elbe Satranç", "we"). We are the data controller under Turkey's Personal Data Protection Law No. 6698 (KVKK).

2. Whose data we process
- Students, most of them children under 18.
- Parents and guardians following their child's progress.
- Coaches and club staff.
A child's account is opened with the knowledge and consent of a parent or guardian, whose name is asked for on the sign-up form. A parent can see their child's lessons, homework and results from their own account.
3. What we keep
Account details
- First and last name, e-mail address, phone number, date of birth.
- Optional: gender, a short "about me" text, a Lichess username.
- At sign-up: parent's name, the chosen programme, a national chess rating if you have one, the reason for registering.
- Preferences: language, light or dark theme, notification settings, radio channel choices.
Chess work
- Games played on the site with their moves, results, ratings and rating history.
- Puzzles solved, homework, exams, opening study, daily goals, monthly ladders.
- Lesson attendance, the coach's lesson reports and notes, tournament entries and results.
Messages
- Chat messages on the site, questions asked to a coach, messages from a parent to a coach, feedback and contact-form messages.
- To protect children, a word filter screens the chat, and staff can switch off chat for an account.
Live lessons
- During a lesson, voice and video pass through the club's own media server to the people in that lesson. Lessons are not recorded. If that ever changes, this policy will be updated and you will be told in advance.
- The camera and microphone are used only with your permission and only during a lesson.
Technical data
- Sign-in sessions and the time of the last sign-in.
- Cookies holding display preferences such as screen size, language and theme (see below).
- An audit log of significant actions taken by staff.
4. Why we use it
- To teach: lessons, homework, exams, tracking and reporting progress.
- To keep parents informed about absences, lesson reports, homework, exam results and tournaments, by in-site notice, e-mail and, where needed, SMS.
- To run club tournaments and show standings.
- To keep accounts secure and prevent misuse.
- To run the club's membership and registration.
Legal basis: performance of the education agreement (KVKK art. 5/2-c), the club's legitimate interest (art. 5/2-f), and explicit consent for optional information (art. 5/1).
What we do not do: we show no advertising, use no analytics or tracking tools, and never sell or share your data for marketing.
5. Who can see it
- Coaches see the lessons, homework and results of their own students.
- Parents see only the children linked to them.
- Club staff see what their role requires.
- Other students can see your name and rating in standings and tournaments.
Transfers outside the club
- Hosting provider: the site and database run on servers rented by the club. The provider does not access the content.
- Lichess: only if you enter your own Lichess key does the site connect to lichess.org, for the Lichess games you play from the site. The key is stored encrypted and can be removed at any time. Lichess's own privacy rules apply there.
- E-mail and SMS: notices are sent through the club's own e-mail account and SMS service.
No other third party receives data. If the law requires it, data is given only to the competent authorities.
6. How long we keep it
- For as long as the account exists.
- When an account is deleted, the personal fields (name, e-mail, phone, date of birth) are erased or anonymised, the account is closed and disappears from lists.
- Games, results and lesson records stay, without a name, as the club's teaching and tournament records.
- Records with a legal retention period, such as membership and payment records, are kept for that period.
7. Your rights
Under article 11 of the KVKK you may:
- Learn whether your data is processed and ask for a copy.
- Have wrong or incomplete data corrected. Name, phone and language can be changed on your own profile page.
- Ask for your data to be deleted. "Delete my account" is on your profile page and is confirmed with your password.
- Object to processing and seek compensation for damage.
- Complain to the Personal Data Protection Board.
Requests go to info@elbesatranc.com. A parent or guardian makes the request on behalf of a child. We answer within 30 days.
8. Security
- Passwords are stored one-way encrypted; nobody, club staff included, can see your password.
- Connections are encrypted with HTTPS.
- Each staff member reaches only what their role needs.
- The database is backed up regularly.
9. Cookies
We use only the cookies the site needs to work. There are no advertising or tracking cookies.

10. The apps
The phone and tablet apps show the same site and follow the same rules. The app uses the camera and microphone only in a lesson and with your permission; it does not read your location, contacts or other apps. There are no in-app purchases.
11. Changes
If this policy changes, the new version is published on this page with a new date. A significant change is also announced inside the site.
